Privacy Policy

1. What this policy covers
This policy covers compasschat.org: the School Compass website, sign-up, sign-in and the school dashboard. Solvetix LLC runs it. Each school's assistant at {school}.compasschat.org has its own terms and privacy page, linked from its chat. That page covers families who use the chat.
2. What we collect
- Sign-up and account details: your work email, your name and title, your school's name and website, and the choices you make during setup (address, city, state, phone, grades, time zone, contact page, colors, logo).
- School website scan: when you sign up, we scan your school's public website to fill in setup. The results can include staff names and email addresses published on that site.
- School content you give us: files you upload, and the newsletters your school forwards, including the sender's email address.
- Agreement records: who signed the Service Agreement, their title and email, the version and the date.
- Billing details: billing email and PO number. Card details go straight to Stripe. We never see or store your card number.
- Messages you send us: the email and text you type in the "Ask us" form (with your school's website and the setup step you were on), or send to our email address.
- Colleague invites: the email of a colleague you invite, so we can send them the link you asked us to send.
- Technical data: IP address and browser data that Cloudflare uses to run the site and block bots (Turnstile), a sign-in cookie, and the time you last signed in.
- Audit log: a record of account actions (sign-in emails sent, changes, invites, agreement, billing) for security.
3. How we use it
- To set up and run your school's Compass, sign you in and send you service emails (sign-in codes, "You're live", billing and setup reminders).
- To bill your school and keep records the law requires.
- To answer your questions and fix problems.
- To keep the service secure and stop abuse.
We do not sell or rent personal information. We do not share it for advertising. We do not use it to train AI models. We do not send marketing email lists to anyone.

The live demo on our home page and in setup is a real school chat. It sets that chat's device cookie and browser storage, as described on its terms and privacy page. We use no analytics, no advertising and no tracking cookies.
Do Not Track. We do not track you across sites, so we do not change anything when your browser sends a Do Not Track signal.
5. Services we rely on

These services process data only to provide their service to us.
6. How long we keep it
We keep account and school data while your school uses Compass. Within 60 days after a paid subscription ends, we delete it, as the Data Privacy Addendum says. If your school signs up but never pays, we keep the setup until you ask us to delete it. We keep billing, tax and signed-agreement records, and the audit log, as business records. Copies of your email address can stay in those records, in our sign-in records and in alerts to our team. Ask us and we will delete what the law lets us. Sign-in codes and links expire after 15 minutes.
7. Your choices and rights
You can see and change most of your details in the dashboard. To get a copy of your data, correct it or delete it, write to contact@compasschat.org. We answer within 30 days. We will not treat you differently for asking. Depending on where you live, you may have more rights under your state's law. We honor them.
8. Children
This website is for school staff. It is not for children, and we do not knowingly collect personal information from children here. For families and students using a school's assistant, read that school's privacy page.
9. Security
Data is encrypted in transit and at rest. Sign-in uses one-time email codes, not passwords. No system is perfectly secure. If a breach affects your data, we will tell you as the law and our agreement require.
10. Changes
If we change this policy, we update the date at the top. For important changes, we email account owners before they take effect.
